This guide is a quick tour of the QuickFile screen. It shows you the main ways to move around (the top menu, the + button and Quick search) and what each of the five main areas is for: Sales, Purchases, Banking, Reports and Account Settings.
You won’t do any bookkeeping here. The aim is simply to know where things are, so you can find them when you need them. Each area has its own guides, linked at the end.

When you sign in, you start on My Dashboard. It shows a summary of your account: Invoicing (what you’re owed and what you owe), Banking (your bank accounts and balances) and the Pinboard (reminders such as filing dates).
There are three ways to get around:
Tip: The top menu and the Quick search box are on every page, so you can jump to any area from wherever you are. To get back to the dashboard, click My Dashboard.
On the dashboard, click the blue + button at the top right.
Choose a task: Create new invoice, Log a purchase, Create a new client, Create a new supplier or Receipt Hub.
QuickFile opens the right screen for that task. To close the panel without choosing, click the ×.
Quick search finds both screens and records. You can type the name of a page (for example “document” for the Document Manager), a client or supplier name, or an invoice number.
Click the Quick search.. box at the top of the left column.
Start typing. Matching results appear underneath.
Click a result to go straight to it.
Tip: Click the ? next to the box for search tips, such as adding an asterisk (
*) to match part of a word.
You don’t need to learn every menu option yet. Just remember what each area is for:
| Area | Use it for | For example |
|---|---|---|
| Sales | Money coming in: your clients and the invoices you send them | Create an invoice, view clients, see outstanding invoices |
| Purchases | Money going out: your suppliers and what the business buys | Enter a purchase, view suppliers, see outstanding purchases |
| Banking | Your bank accounts and bank transactions | View all bank accounts, create an account, set up bank feeds |
| Reports | Accounting and financial reports made from your records | Profit and loss, balance sheet, trial balance |
| Account Settings | Setting up and managing your QuickFile account | Company settings, team members, importing data |
A simple way to tell Sales and Purchases apart: Sales is what the business sells, and Purchases is what the business buys.
Sales is where you manage the money coming into the business: your clients and the sales invoices you send them. For example, you could create a client called ABC Design Ltd and raise an invoice for a website design. If you’re dealing with customers or sales invoices, Sales is the first place to look.
Purchases covers the other side: your suppliers and the goods and services the business buys, such as web hosting, office equipment or printing. You’ll also find the Receipt Hub here.
Banking is where you manage your bank accounts and their transactions. Your account already has some bank accounts set up, such as a Current Account, and you can use these or create your own. The Banking menu lists your main bank account by name.
Click All bank accounts (or the Banking heading) to open Bank Management, which lists every account with its balance. From there you can create an account, import a bank statement or add transactions yourself. Banking is the link between what you record in QuickFile and the money that actually moves through the business: customer payments, supplier payments, expenses and transfers all pass through it.
Reports shows accounting and financial information made from the records you keep in QuickFile. As you enter and categorise transactions, they feed into these reports. Hover over Reports for the most common ones, or click Reports to open the Reports page, which has more reports on its Popular, Custom, Projects and Other tabs.
Account Settings holds the options you use to set up and manage your QuickFile account. For example, use Team management to give team members access, and Import Data to import your clients and suppliers. There are many options here and you don’t need them all now. Click All settings to see the full list.
The left column (with Quick search and your custom links) has been hidden. This happens if someone clicked Hide at the bottom of the column, and QuickFile remembers it. The column is also tucked away automatically in a narrow browser window.
Click the small >> button at the top left of the page.
The column, including the Quick search box, appears again. You can still reach every area from the top menu while it’s hidden.
In a narrow window (for example on a tablet), QuickFile shortens the top menu: My Dashboard is hidden and Account Settings is shown as Settings. Widen the window to see the full labels.
